Operations Manager, Legal and Corporate Filing

Remote (US-based - Westcoast preferred)

Full-time (West Coast Hours)

Salaried, Exempt

Compensation: $95,000 - $110,000* US Dollars

Compensation philosophy:

SingleFile provides a competitive compensation range for roles that may be hired in different geographic areas where we are licensed to operate our business. Actual compensation is determined by several factors, including but not limited to the level of professional experience, educational experience, skills, and specific candidate location. In addition, this role will be eligible for bonuses and benefits.

Corporate Legal and Law Firm clients must comply with state and local regulations wherever they operate. It’s important, detailed work that must be done. Getting it wrong means penalties, delayed transactions, and even the inability to conduct business in a state. To-do lists, spreadsheets, and email can be cumbersome to manage and risk the required accuracy for filings. The two large service providers that dominate this space are expensive and underperform. SingleFile replaces the administrative burden and gets the job done quickly, easily, and accurately so that Corporate Legal and their law firms can focus on their business.

About you: (requirements and experience)

You are a talented, empathetic leader passionate about the legal corporate services business and know better ways to meet your customers' needs. You have experience working in a legal service provider, corporate legal, or a closely related industry. You artfully and respectfully manage your team to meet critical deadlines while providing exceptional customer support. You understand how customers rely on a service provider to manage their key deadlines to earn your trust.


  • Oversee Compliance & Legal Filing Operations team to ensure expert, accurate service is delivered to our customers
  • Currently manages a small team of remote workers in current or past roles.
  • You have a track record of leading teams to achieve their goals, meeting established KPI's and team goals
  • You hire the right people and are a talent developer at both entry-level and senior levels.
  • Leverages metrics and data to see trends, uncover opportunities for improvement, and provide team and individual expectations
  • You prefer smaller, younger companies that are nimble and move at a faster pace
  • You tackle challenges head-on, and you are a creative problem-solver
  • You strive to improve people, processes, and systems continuously
  • Oversee Compliance & Legal Filing Operations team to ensure expert, accurate service is delivered to our customers
  • Develop staffing plans to support a rapidly growing business
  • Evaluate existing workflows and identify/implement improvements to our current toolset
  • Offer insights on new technology that will result in better customer experience and improve speed, accuracy, and quality
  • Manage critical metrics, including productivity, cycle times, distribution of work, and billing
  • Identify/implement documentation and other resources (along with plans to keep current) to assist existing team members and speed ramp-up time for new team members
  • Serve as an expert resource for the sales team to help acquire and manage customers
  • Identify and nurture partnerships with the service provider network to help deliver cost-effective results
  • Develop and document processes to onboard new customers and new services effectively
  • Success with hiring and developing team members and future leaders
  • Demonstrated confidence in both verbal and written communication
  • Have spent time in the corporate legal world or managing compliance for companies in a legal firm
  • Have managed a successful customer service team and can articulate how you made it better
  • Are willing to roll up your sleeves (no job too big, no job too small)
  • High proficiency with productivity, communication, and reporting applications (such as Google Workspace, Slack, and Tableau, ZenDesk) and comfortable learning new technologies
  • Familiarity with market customer success tools and related software systems

  • Succeed working in a smaller environment that can be demanding at times
  • Have 6+ years of demonstrated successful management and development of remote and non-remote teams
  • Are comfortable managing growth, influencing change and behaviors of your team
  • You know how to sort out the priorities, turn on a dime, and give nine cents change when necessary and not crash the car
  • Industry experience with filing and compliance for law firms and corporations is highly preferred
  • High proficiency with productivity, communication, and reporting applications (such as Google Workspace, Slack, and Tableau, ZenDesk) and comfortable learning new technologies
  • Familiarity with market customer success tools and related software systems
